Ordering oil & gas equipment parts from Canada: a checklist for buyers in Europe

CHR engineering team,

To order equipment parts from Canada, send the part number or nameplate photo, quantity, ship-to country, end user and required date; agree the currency (USD or CAD) and the Incoterms® rule; and check which documents your import process needs. Import duties and VAT are normally paid by the buyer, and the Canada–EU trade agreement (CETA) may reduce duties on goods of Canadian origin.

Much of the compression and engine equipment running in Europe’s gas storage, pipeline and processing facilities is North American-made. When a part is hard to find locally, ordering from a Canadian supplier is often the fastest route. Here is what to prepare.

1. What to send with your request

  • Part number, if you have it, and quantity
  • Equipment manufacturer, model and serial number (a nameplate photo is ideal)
  • Ship-to country and delivery address or site
  • End user and end use of the equipment: suppliers in Canada must screen international orders against export control and sanctions rules, and this information may be required before a quote or shipment
  • Required delivery date

2. Currency

CHR quotes in US dollars or Canadian dollars. Choose the currency you prefer when you request the quote.

3. Delivery terms (Incoterms®)

The quote states the Incoterms® rule, which defines who pays for and manages each leg of transport and when the risk passes to you. Common choices include:

  • EXW / FCA Calgary: you or your forwarder collect the goods in Calgary
  • CPT / CIP: the supplier pays carriage to a named place; you handle import
  • DAP: delivered to your named place; you clear import customs and pay duties

If you have a preferred forwarder, mention it in your request.

4. Documents that come with the shipment

Typically a commercial invoice, packing list and, where requested, certificates of conformance or material certificates. Ask in advance if your import or quality process needs anything specific (for example a certificate of origin).

Packing for export

Parts for overseas delivery travel in heat-treated wooden crates stamped to ISPM 15, protected against corrosion with VCI bags and blocked so nothing moves in transit. Each crate carries the shipping marks and a packing list. See how to pack compressor and engine parts for shipment.

5. Import duties and VAT

Import duties and VAT in your country are normally your responsibility under most Incoterms rules. The Canada–EU trade agreement (CETA) may reduce duties on goods of Canadian origin. Your customs broker can confirm what applies to your part.

6. Lead time

Lead time depends on whether the part is in stock, sourced from a manufacturer, or made to order, plus transit. Each CHR quote states the lead time per line.

Send the part number or a nameplate photo with your ship-to country on the quote form. See also International supply. We reply within 5–10 business days.

CHR is an independent supplier and is not an authorized dealer of the manufacturers named. All supplies are subject to applicable export control and sanctions regulations.

Frequently asked questions

How long does shipping from Calgary to Europe take?

By sea, typically several weeks door to door, including inland transport to and from the ports. By air, a few days plus customs clearance. Urgent small parts usually go by air.

Do I pay import duty on parts from Canada?

Usually import duty and VAT are paid by the buyer. Under CETA, many goods of Canadian origin can enter the EU with reduced or zero duty if the origin is properly declared. Your customs broker can confirm the rate for your part.

Which Incoterms rule should I choose?

If you have your own forwarder, FCA Calgary is simple and gives you control of freight. If you want the supplier to arrange transport to your site, CPT, CIP or DAP to a named place are common.

Can CHR ship to the United Kingdom, Norway or Switzerland?

Yes, subject to export control and sanctions screening. The same checklist applies; only the import rules differ by country.
